About the Role:

As a Document Controller based in London, you will play a critical role in managing the flow of documentation within a project or organization. This includes setting up document control systems, ensuring all documents are properly formatted, approved, and stored, and distributing them to the appropriate teams. You’ll be responsible for maintaining version control, tracking document revisions, and ensuring compliance with company and industry standards. This role often involves working closely with project managers, engineers, and administrative teams to ensure timely and accurate information sharing.

You’re Responsibilities:

  • Maintain and manage document control systems, ensuring all project and company documentation is properly filed, updated, and accessible.
  • Ensure timely distribution of documents to internal teams and external stakeholders, maintaining version control and tracking document status.
  • Check documents for accuracy, formatting, and compliance with company and industry standards before submission or distribution.
  • Liaise with project managers, engineers, and administrative staff to collect, organize, and disseminate project-related information.
  • Archive documents and ensure secure handling of confidential or sensitive materials.
  • Generate regular reports on document control activity, including outstanding documents and compliance issues.
  • Support audits by preparing documentation and ensuring records are complete and up to date.

What You Bring:

  • Proven experience in a Document Controller or similar administrative role, ideally within construction, engineering, legal, or corporate environments.
  • Strong knowledge of document control systems and software such as Aconex, SharePoint, Viewpoint, or other Electronic Document Management Systems (EDMS).
  • Excellent organizational skills with a keen eye for detail and accuracy.
  • Ability to manage multiple tasks and deadlines while maintaining a structured and methodical approach to work.
  • Strong communication and interpersonal skills, with the ability to liaise confidently with stakeholders at all levels.
  • A good understanding of confidentiality, data protection regulations, and document version control.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and general IT literacy.
